Getting Started
Log in, configure your brand, and start managing leads.
Logging In
Navigate to app.leadfloww.io/login and sign in with your email and password. Your credentials are provided by your account administrator.
If you need to reset your password, click Forgot password? on the login page. You will receive a reset link at your registered email address.
If you do not have login credentials, contact your team admin or reach out to LeadFlow support.
First Things to Do
After logging in for the first time, we recommend completing these steps in order:
- Check Brand Settings — Go to Settings and verify your Brand Name, Agent Name, and Phone number. These appear in every outbound email.
- Set Your Brand Tone — Choose how the AI sounds in your emails: Professional & Friendly, Casual, Formal, or Empathetic.
- Add Your Email Signature — Configure a custom signature that gets appended to every outbound email.
- Review Team Roster — Go to Settings and check your team members, their specialties, and queue capacities.
- Review Escalation Rules — Set your max auto-replies before escalation and configure your escalation email address.
Dashboard Navigation
The dashboard has three main sections, accessible from the sidebar:
- Conversations — Your main workflow. Search leads, view conversation threads, send manual replies, and escalate leads to agents.
- Analytics — Performance metrics including leads received, email volume, reply rates, escalation rates, and AI costs.
- Settings — Configure your brand, escalation rules, sender accounts, and team members.
How It Works
Here is the high-level flow of how LeadFlow processes your leads:
- Lead arrives — A new lead comes in from your CRM and appears in the Conversations queue with a "New" status.
- AI drafts an email — The AI reads the lead's data (name, vehicle, coverage type) and writes a personalized outreach email.
- Email is sent — The email is delivered through your sender accounts. Status changes to "Email Sent."
- Replies are monitored — When a lead replies, the AI classifies their intent (interested, question, not interested, out of office).
- Warm leads escalate — Interested leads are automatically escalated to your best-fit agent with a handoff email.
You can always manually escalate a lead or send a personal reply at any point in the conversation.
