How Personalization Works
Every outbound email LeadFlow sends is unique. The AI reads the lead's data and writes a personalized message tailored to their specific situation.
First Email
The initial outreach email is crafted based on the lead's information. It introduces your agent by name, mentions specific details about their vehicle or coverage needs, and includes your direct phone number. The goal is to feel like a personal message from a real agent, not a mass email.
Follow-Up Emails
When a lead replies with a question, the AI reads the entire conversation thread before generating a response. This ensures follow-ups are contextual and address the specific questions the lead asked. The AI will not repeat information already covered in previous messages.
Tone Matching
The AI adapts its writing style to match your configured brand tone:
- Professional & Friendly — Warm but business-appropriate. The default for most agencies.
- Casual — Relaxed and conversational. Good for agencies targeting younger demographics.
- Formal — Corporate and polished. Suitable for high-value or commercial leads.
- Empathetic — Understanding and supportive. Works well for leads who may be dealing with claims or coverage gaps.
What Data Is Used
The AI uses the following lead data to personalize emails. All of this information comes from your CRM when the lead is ingested.
Contact Information
- Name — First and last name for the greeting.
- Email — Delivery address.
- Phone — Referenced if lead asks for a call.
- Address — City and state for regional context.
Vehicle & Coverage Details
- Vehicle — Year, make, and model are mentioned when relevant to coverage discussion.
- Coverage Type — Full coverage vs. liability, etc. Used to tailor the value proposition.
- Annual Mileage — Referenced for rate context when available.
Risk & Policy Context
- Age & Credit Rating — Used to frame relevant savings opportunities.
- Current Carrier — Helps the AI position a competitive alternative.
- Policy Expiration — If the policy is expiring soon, the AI highlights urgency in the messaging.
Agent Information
Every outbound email includes:
- Agent Name — Your configured agent name from Brand Settings.
- Agent Phone — Your direct phone number, always included for easy contact.
- Email Signature — Your custom signature, appended to every email.
Branding Rules
LeadFlow enforces branding rules to ensure your outbound emails align with compliance and marketing guidelines.
- Hide Carrier Branding — Enabled by default. When on, the AI will never mention Allstate or any other carrier name in outbound emails. Your agent reaches out as themselves, not on behalf of a carrier.
- Agent Identity — Your agent name and phone number appear in every email. The email reads as if the agent is personally reaching out.
- Custom Signature — Set in Settings, your signature is appended to every outbound email.
